An organization in the north of Johannesburg is looking for a Receptionist to join the team.

  • 1. Role within the organisation

The role you play within the organization is of vital importance. The reputation and the corporate image of the organization are both factors that you will have a direct influence on all individuals that you may encounter. As a Receptionist, your role within the organization will be one of reception and switchboard support for the organization. An excellent level of communication is required from you at all times.

  • 2. Key Responsibilities and Duties
  • Duties include general clerical, receptionist and operational based work.
  • Answer or redirect general inquiries in person, by telephone or e-mail.
  • Take and forward messages using multi-line telephone.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures)
  • Diary management and management of meeting rooms
  • Receiving and dispatching deliveries
  • Distribute incoming mail and faxes.
  • Maintain front line procedure manual.
  • Project a professional company image through in-person and phone interaction.
  • Meet and greet clients and visitors and coordinating refreshments
  • Direct visitors to the appropriate person and office
  • Ordering of stationery and monitoring of stationery levels in the stationery cupboard
  • Communication with and daily monitoring of cleaning staff and the replenishment of consumables in the restrooms
  • Ordering of staff and training groceries online
  • Ordering of office supplies
  • Getting quotations for orders
  • Submitting invoices of orders before the payment date
  • Ordering of all cleaning material and ensuring that suppliers do no run out.
  • Filing of all Operations related delivery notes and supplier documentation received
  • Administration of the leave calendar
  • Sending birthday notifications to staff
  • Updating the wall of fame pictures as and when required
  • Helping with operations related tasks
  • Logging calls for support when the office printers are not functional
  • Logging calls for support on all facilities related matters
  • Assisting with staff team events
  • Assisting other departments on an Adhoc basis
  • 3. Attitude & Personal Attributes

As the Receptionist, it is vital to have:

  • Attention to detail is a non-negotiable attribute required for this position
  • A high level of courtesy at all times is also a pre-requisite for this position
  • A problem-solving and results-orientated mindset will be required for this position

  • 4. Required Skills
  • High standard of communication in both verbal and written business English
  • Excellent customer service
  • Advanced level of PC literacy and the use of the Microsoft Office Suite
  • The ability to self-manage
  • High standard of record keeping and administration
  • 5. Requirements
  • Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma or equivalent.
  • 3 years proven work experience as a Receptionist, Front Office Representative or similar role
  • Knowledge of Microsoft Office and telephone protocol.
  • Computer literate with the ability to learn new software applications.
  • Duties require professional verbal and written communication skills and the ability to type 60 wpm.
  • Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information.
  • Customer service attitude
  • Matric – Secretarial, Office Administration Certificate or Diploma would be advantageous.
  • Work requires a willingness to work a flexible schedule if required
